Concessions Supervisor/Lounge Host (Part-Time)

Job Summary

Concessions supervisors/ Lounge hosts provide supervision and execution of the food and beverage operations during Walton Arts Center performances and events, working mostly nights and weekends. Supervisors/Hosts will execute setup of space to prepare for serving patrons, brief staff and volunteers on the plan for the evening, ensure excellent customer service throughout the event and execute cleanup and shut down of the space post-event including filing written reports. Additional shifts may be offered to include early setup, inventory or administrative work in preparation for upcoming events.

Qualifications

  • Must be 21 years of age and comfortable working around/serving alcohol.
  • High school diploma or equivalent is required.
  • Minimum 1-year experience working in a customer service setting (retail, food service, etc.)
  • Experience and comfort with cash handling.
  • Experience working with volunteers is preferred.
  • Will be required to complete Trained Crowd Manager course and pass exam upon hire.
  • Must be able to stand for long periods of time and climb stairs
  • Ability to react and move quickly to assume a supervisory role during emergency situations (evacuations, tornado shelter situations, etc.)
  • Must be able to lift up to 30lbs.
  • ServSafe Food Handling and Alcohol Serving Certified or Trainable.
  • CPR/First Aid Certified or Trainable
  • Comfortable using computer technology (point of sale systems, databases)
  • Must have flexible working hours including the ability to work mostly nights and weekends as required by event schedule.  Generally must be available by 4:00pm on weekdays and all day Saturday and Sunday.  Shifts are scheduled approx. 6 weeks in advance and subject to change.

Responsibilities

  • GENERAL
    • Maintain positive and respectful relationship with all volunteers, directing and delegating appropriate assignments.
    • Be prepared, at the direction of the House Manager, to assist with directing patrons and volunteers during any emergency situation (fire, tornado, power outage, threatening persons, etc.)
    • Familiarize themselves with WAC policies, sponsorships and constituents to ensure knowledgeable interactions while providing customer service.
    • Attend department and organization-wide meetings as required and contribute to the conversation.
    • Any and all other tasks assigned by management for which the employee is qualified and physically able to perform with or without reasonable accommodation. 

 

  • CONCESSIONS
    • Physical setup of concessions area prior to events including stocking of candy, beverages, souvenir cups, etc. 
    • Preparation of any items required to be made on site prior to patrons arriving (making coffee, mixing batches of specialty bar selections, etc.)
    • Ensuring that point of sale systems for volunteer cashiers have been updated and include all items available for sale on a given shift.  Troubleshoot point of sale system if menus do not match current offerings. 
    • Ensuring digital menus match current concessions offerings.  Troubleshoot/correct menus if they do not match.
    • Brief volunteers and staff upon their arrival regarding the plans for the event, answer questions, and supervise the work of those assigned to concessions throughout duration of event, assisting as needed. 
    • Be available to assist volunteers with any customer service interactions requiring the presence of a supervisor.  (Register issues, customer complaints, etc.)
    • Observe patron lines and make adjustments as necessary to expedite patrons through their concessions experience.  May involve spur of the moment decision making (directing patrons to shorter lines, posting additional signage, opening another register and acting as cashier yourself, etc.)
    • Ensure stock quantities throughout event and anticipate/replenish shortages before they occur. 
    • Ensure that all proper food safety and sanitation requirements are met by volunteers and staff throughout event. 
    • Bus lobby spaces/remove food trash when possible.  Keep a clean and presentable work space, particularly in public areas. 
    • Clean/sanitize concessions and kitchen areas at the end of a shift.  Ensure unused product is refrigerated or stored in a proper manner to ensure freshness is maintained; throw away product that cannot be used in future and keep record of wasted product. 
    • Handle all cash processes at the beginning and end of a shift; count in volunteer cashiers and record their cash, then count out cashiers and record cash in.  Lock up and deposit all cash at the end of shift as directed by Food & Beverage Manager.
    • Provide reports on concessions sales and any customer service/inventory issues at end of shift for follow up.

 

  • LOUNGE
    • Prepare food and beverage as directed by Food & Beverage Manager with attention to detail regarding food presentation, appropriate quantities and freshness. 
    • Ensure that the Donor Lounge space is clean and prepared to accept guests; report any deficiencies to Facilities staff with enough notice to remedy the situation prior to patron arrival. 
    • Prepare outdoor Donor Lounge spaces, weather permitting.  Place and turn on patio heaters, wipe down cocktail tables, etc. 
    • Ensure beer, soda, white wine are iced/refrigerated in sufficient quantities and time to be at correct temperature for patron arrival.
    • Brief volunteers and staff upon their arrival regarding the plans for the event, answer questions, and supervise the work of those assigned to lounge throughout duration of event, assisting as needed. Be prepared to step in as extra ticket scanner, greeter or beverage pourer as needed to expedite lines.   
    • Assist with any questions or concerns at entrance to Lounge regarding access eligibility (make sure ticket scanner is programmed and working properly, help with customer service issues or redirect issues to a Development team member when appropriate.)
    • Greet and welcome patrons while in the Lounge.
    • Bus empty cups/food waste as available to keep Lounge clean throughout event. 
    • Ensure stock quantities throughout event and anticipate/replenish shortages before they occur. 
    • Communicate to patrons regarding event timing so that they do not miss the show (flash lights, make announcements as necessary).
    • Ensure that all proper food safety and sanitation requirements are met by volunteers and staff throughout event. 
    • Clean/sanitize lounge and kitchen areas at the end of a shift.  Ensure unused product is refrigerated or stored in a proper manner to ensure freshness is maintained; throw away product that cannot be used in future and keep record of wasted product. 
    • Provide reports on lounge attendance, vibe and any customer service/inventory issues at end of shift for follow up.

 

  • SPECIAL EVENTS
    • Working under the direction of the Events team, provide assistance and execution of food and beverage setup as necessary for efficient service. 
    • Ensure smooth operation of food and beverage services through proactive replenishment of product, answering staff/volunteer questions, troubleshooting menus and digital signage, bussing/cleaning event areas.
